1. Who we are
Kvedo is a work tool for tradesmen and small crews: jobs, time tracking, materials and invoices in one app. The service is provided by SIA "Kvedo", registration number 40203788443, VAT number LV40203788443, registered address Bāriņu iela 4/6-36, Liepāja, LV-3401 ("we" or "Kvedo").
Contact: info@kvedo.com, +371 20 51 05 02.
These terms are the agreement between us and the business that creates a Kvedo account ("you"). Together with the privacy policy and the data processing annex to these terms, they are everything we have agreed.
2. Kvedo is for businesses
A Kvedo account may be created by a company, a person carrying out economic activity or a self-employed person, for the purposes of that business. Kvedo is not meant for private individuals acting outside a trade, and we do not sell it to them.
Consumer rights therefore do not apply to this agreement, including the 14 day right of withdrawal, which Latvian consumer law gives to consumers only.
By creating an account you confirm that you act on behalf of your business and that you are entitled to represent it.
3. When the agreement starts
The agreement takes effect when you create an account. From that moment these terms apply. Payment starts when you choose a plan and make the first payment.
The first 14 days from creating the account are free, and no card is needed. When they end, the data stays, but new jobs and invoices cannot be created until the subscription is active. When you pay, everything is where you left it.
An account can only be created after you tick, on the sign-up form, that you accept these terms (with the data processing annex) and the privacy policy. We record which version you accepted and when, together with a fingerprint (hash) of your network (IP) address, not the address itself. Version of these terms: 2026-10-06.
4. The account and its users
The account is created by one person, who becomes the account administrator. The administrator adds the other users and is responsible for who inside your business has access.
Every user signs in as themselves. Keeping passwords and sign-in details safe is your responsibility. If you suspect someone else has reached the account, tell us at once at info@kvedo.com.
How many users may be active at the same time is set by the plan. If you need more, change the plan.
5. Plans, prices and VAT
Plans and their prices are shown at kvedo.com. Prices are shown without value added tax. VAT is applied as the law requires and is shown on the invoice.
You can pay by the month or a year ahead. A year paid ahead costs less than twelve monthly payments; the exact discount is on the pricing page.
6. Billing
Payments are handled by Stripe. Card details never reach us: you type them on Stripe's page.
The subscription renews by itself, monthly for a monthly plan and yearly for a yearly plan, on the same date, until it is cancelled. Each payment is taken at the start of the period, for the period ahead.
The invoice for the subscription arrives by email and is available on the Stripe page you open from your account.
7. If a payment fails
If a payment fails we try again and tell you by email. If it still fails, the subscription is suspended: the data stays, but new jobs and invoices cannot be created until payment is received.
If a subscription stays suspended for more than 60 days we may close the account. We warn you by email first, and you have at least 30 days to take your data out.
8. Cancellation and refunds
You can cancel at any time in your account. Cancellation takes effect at the end of the paid period: until then Kvedo works as usual, and the next payment is not taken.
We do not refund a period that has already started, even if you stop using Kvedo before it ends. This does not apply where a payment was taken by our mistake: that we refund in full.
We may end the agreement with 30 days notice by email. If we do so without a breach on your side, we refund the unused part of the paid period pro rata.
9. What you may and may not do
You may use Kvedo for your own business. You may not:
- share one user's sign-in between several people to get around the plan's user count;
- sell, rent or otherwise pass access to Kvedo to anyone else;
- put content into Kvedo that is unlawful or infringes anyone's rights;
- try to reach another business's data, get around security measures or deliberately overload the system;
- use Kvedo to build a competing product.
If these terms are breached seriously we may suspend the account immediately and tell you afterwards.
10. Your data
Everything you put into Kvedo, including your clients' data, jobs, time records, materials, photos and invoices, belongs to you. We do not use it for advertising, do not sell it, and use it for nothing other than making Kvedo work.
We process your clients' personal data only on your instructions. That processing is governed by the data processing annex to these terms, which forms part of this agreement.
You can take your data out at any time while the account exists. When you delete the account the data is deleted at once and cannot be recovered, so take it out first. Backups may hold it for up to 90 days more, after which they are overwritten.
11. The invoices and quotes you issue with Kvedo
Kvedo is the tool you issue your own invoices with. What the invoice says is your responsibility: the amounts, the VAT rate, the company details, the numbering, and whether the invoice meets the law and your own accounting practice.
Kvedo is not accounting software and does not replace an accountant or a tax adviser. We do not give accounting, tax or legal advice.
Keeping your accounting records as the law requires is your own duty. The data held in Kvedo does not replace that.
12. Availability and support
We do our best to keep Kvedo running around the clock, but we do not guarantee uninterrupted service. There can be breaks for maintenance, and for reasons outside our control such as internet, cloud service or payment system failures.
We do not pay compensation for downtime.
Support is by email at info@kvedo.com and by phone on working days. We do not guarantee a response time, but we aim to answer within one working day.
Kvedo also works without an internet connection: records can be made with no network and reach the server when the connection returns. We are not responsible for data that stayed only on the device and never reached the server, for example if the device is lost or damaged.
13. Changes to the service and to prices
Kvedo keeps changing: features may be added, changed or removed. We give at least 30 days notice by email of a significant change that reduces what you could do before.
We may change prices with at least 30 days notice by email. The new price applies from the next renewal. If it does not suit you, you can cancel before it takes effect, and the old price holds until the end of the paid period.
14. Liability
Kvedo is provided as it is. We do not guarantee it is free of faults or that it suits your particular way of working.
Our total liability for all losses arising from this agreement does not exceed what you have paid us in the 12 months before the event that caused the loss.
We are not liable for lost profit, lost business, damage to reputation or indirect losses, nor for losses caused by an invoice or quote being wrong (section 11).
Nothing in this section limits liability that cannot be limited by law, including for intent or gross negligence.
15. Intellectual property
Kvedo, its source code, design, name and logo belong to us. A subscription gives the right to use Kvedo; it gives no right to the product itself.
Your data stays yours (section 10). If you suggest an improvement, we may use it without payment and without any obligation to build it.
16. Law and disputes
This agreement is governed by the law of the Republic of Latvia. Disputes that cannot be settled by agreement are decided by a Latvian court at our registered address.
17. Changes to these terms
We may change these terms from time to time. We give at least 30 days notice by email of a significant change and ask you in the app to accept the new version. If you keep using Kvedo after a change takes effect, we take it that you accept it. If you do not, you can cancel before it takes effect.
The binding version of these terms is the Latvian one. The English and Russian versions are translations; if they conflict, the Latvian version prevails.
18. Artificial intelligence (AI)
Some Kvedo features use artificial intelligence models: reading receipts and delivery notes, filling in a job from text or voice, voice commands and choosing a job icon. Their result is a suggestion, and the app marks it "Created with AI". When the voice assistant answers you, the answer comes from AI, not from a person.
AI can be wrong. Check a suggestion before you save it, send it or issue an invoice: you are responsible for what is saved and sent (section 11). Using the AI features is optional; you can always enter everything yourself.
We pass your data and your clients' data to AI providers only to carry out the specific task, as sub-processors (privacy policy, section 8). They may not use the data to train their models, and we do not use it for training either. We give this information under Article 50 of the EU Artificial Intelligence Act.
19. Switching to another service
You can switch to another provider or to your own infrastructure at any time. To do so, tell us by email or cancel the subscription in your account. The notice period is never longer than 2 months; we can also start the switch at once.
After the notice there is a 30-day transition period. During it Kvedo keeps working and you can take your data out in a machine-readable format: in the app, Profile → Data export creates a ZIP file with all data as CSV, invoice PDFs and photos. On request we help with the switch and describe the export format. If the switch cannot be completed within 30 days for technical reasons, we extend the transition period.
We charge nothing for switching or for taking your data out. After the transition period ends we delete the data as described in section 10, except issued invoices, which must be kept by law. This section implements the requirements of the EU Data Act (Regulation (EU) 2023/2854) on switching between data processing services, and where it conflicts with another section of these terms, this section prevails.

Annex: data processing terms
This annex forms part of these terms and applies while Kvedo processes personal data on your behalf. It replaces a separate data processing agreement.
A. Roles. For the data about your clients and staff that you put into Kvedo, you are the controller and we are the processor within the meaning of the General Data Protection Regulation.
B. What we process. Subject matter: providing the Kvedo service. Duration: while the account exists, and after that for the periods in section 10. Nature and purpose: storing and processing jobs, time, materials, photos and invoices on your behalf. Types of data: clients' names, addresses, phone numbers, email addresses, site addresses, job descriptions, photographs and invoice data; your staff's names, email addresses, phone numbers and working time records. Data subjects: your clients and your staff.
C. Our obligations. We process the data only on your instructions. We make sure the people with access are bound by confidentiality. We apply appropriate technical and organisational security measures. We help you answer data subject requests and meet your obligations on security and data protection impact assessments, as far as we are able.
D. Data breaches. If a personal data breach affects your data, we tell you without undue delay and no later than 48 hours after becoming aware of it, and give you the information you need to meet your own duty to notify the supervisory authority within 72 hours and, where needed, the data subjects. Information not yet known at first is added as soon as it becomes known.
E. Sub-processors. We use sub-processors to run the service. The full current list (who they are, for what purpose, what data they receive and where they process it) is in section 8 of the privacy policy. We give at least 30 days notice by email and in the app before adding or replacing a sub-processor, and you may object; if an objection cannot be resolved, you may end the agreement. Each sub-processor is bound by a contract that places the same data protection obligations on it.
F. Where the data is. Data is stored in the European Union. If a sub-processor processes data outside the European Economic Area, we make sure an appropriate transfer mechanism is in place, such as the European Commission's standard contractual clauses.
G. Deletion. When the agreement ends we delete the data within the periods in section 10, unless the law requires us to keep it longer.
H. Audits. On a reasonable written request, not more than once a year, we give you the information you need to satisfy yourself that this annex is being met.
